This page provides you with information on how to complete the End of the Year ELP report. 


Please remember that you do NOT need to start a new document or download any new reports.  You should continue using the file that you started in the fall! 

If you are one of the contact or other teachers who attended the original fall ELP Report training, please make sure that any new ELL teachers have the information they need to complete the ELP Report. 



When you first downloaded this file, it was in a folder called "ELP Reportcard  (it may have "-OSX 2" after it if you are using a Mac) and the actual file is inside of that folder.  Unless you changed it, it should also be called "ELP Reportcard."  If you have trouble locating it, please ask your technology person or contact your TOSA.  You can also contact Greg Anderson for further assistance.

COMPLETING THE ENGLISH LANGUAGE PROFICIENCY REPORTS FOR THE END OF THE YEAR
  • To give each child an End of Year Holistic Level, use one of the options below:
Option 1 (View Individual Records):
  1. Go to the View Menu and select “View as Form”
  2. Browse Mode
  3. “Report Card w/ Popup Menus” layout
  4. Click on blue box and select a numeric level.  It will not work if you only click on the bar or are in the “Report Card w/o Popup Menus” layout.
Option 2 (View all Records Simultaneously):
  1. Go to the View Menu and select “View as Table”
  2. Browse Mode
  3. “Report Card w/ Popup Menus” layout
  4. In this view, you can reorganize the order of the columns to make it easier to complete the Holistic Level by moving the Holistic Level column closer to the student’s name so you don’t have to scroll to the holistic level then back again to see the students’ names.  You may wish to move other columns around as you prefer.  This method will also allow you to see the students you’ve selected to see all at once for comparison. 
  5. To move columns (Holistic Level for example):
    • Scroll horizontally until you find the column labeled “Holistic Level”
    • Click on the label “Holistic Level” and while holding it down (the label will turn a dark gray and an icon of a hand will appear), drag it left until it is in the location you want as indicated by the vertical black line, then unclick.
  • Please provide end of year comments in the End of Year Summary Report.
  • You will need 2 copies of each report (either print 2 of each, or print 1 and make a copy):
  1. Send one copy home to families with the translated (Hmong, Somali, or Spanish) version as appropriate, copied on the reverse side or attached.
  2. File one copy in the students’ cumulative file.
  • When you have completed all the student records, please email the ELP report file called "ELP-Reportcard.ell" as an attachment to anh.tran@spps.org by June 6th. 
  • Follow the directions below depending on how you access your email – either using the Lotus Notes program or using Lotus Notes on the web:
Lotus Notes Application Users:
  1. Login to your Lotus Notes.
  2. Click "New Memo" to anh.tran@spps.org
  3. Click on the attach button (which looks like a paper clip) at the top bar of the lotus notes window OR click on "File," from the top Notes bar menu, then "Attach"
  4. Find and click on the file titled "ELP-Reportcard.ell" in the folder titled "ELP-Reportcard-OSX 2 Schoolname" (unless you've changed it) which should be wherever you stored it on the computer you completed the ELP Reports.
  5. Select "Create."  The file should appear in the email window.
  6. Click "Send."
Web-based Lotus Notes Users:
  1. Login to your Lotus Notes.
  2. Click "New Memo" to anh.tran@spps.org
  3.  Click  the “Browse…” button next to “Attachment(s):” (it’s blue)
  4. Find and click on the file titled "ELP-Reportcard.ell" in the folder titled "ELP-Reportcard-OSX 2 Schoolname" (unless you've changed it) which should be wherever you stored it on the computer you completed the ELP Reports. 
  5. Click “Open.”  The file should appear in the field next to “Attachment(s):”
  6.  Click “Send.”

Frequently Asked Questions:

  1. Do I need to create a new file or copy of the file?  No, use the same file you already used to complete the information for spring.
  2. Who is responsible for the ELP report when a student has changed schools?  If you have received a new student from another SPPS school for whom you do not feel you have adequate information, please contact the former ELL teacher for assistance in completing the report collaboratively. 
  3. Do I need to create new records?  No, the records for all students you had in the fall should be present in your file already - use those records to enter data.  Do not create a new record for students who are already in the report file.   Only create new records for students who are new since the fall reporting period. 
  4. How do I enter information for a student who started after the fall reporting period?  Look at the ELP Filemaker Tips (this is the same file as above).  Create a new record under "RECORDS" and enter the data for the student. 
  5. How do I enter information on the students' progress?  You should continue as you did in the fall, locate the students file and enter the progress information in the SPRING column.  (Note that the Fall column information places an "" in the boxes, the spring colmn informaiton places an "X" in the boxes. )
  6. Do I need to save the file?  No, remember that the Report Card Solution File will automatically save all changes you make. ELP Filemaker Tips (this is the same file as above)
  7. Who do I contact for assistance?  For technical asssistance, please contact your building technology person (where available), your ELL team members, or Greg Anderson.  For help with evaluation of students, please contact your ELL team members of your TOSA.
